Still copying invoice details into a spreadsheet? I will build an n8n workflow that extracts agreed fields from PDF invoices and adds them to Google Sheets.
Your workflow will:
- Collect invoices from one agreed source
- Extract fields such as supplier, invoice number, date, currency and total
- Check required fields and flag missing or uncertain results for review
- Check an agreed invoice identifier to reduce duplicate entries
- Save results with a link to the source file
Basic covers text-based PDFs in one layout. Standard adds OCR for scanned invoices and up to three agreed layouts. Premium adds up to five layouts, Gmail attachment intake and error notifications.
You receive the n8n workflow JSON, setup notes and a handover video. We test against an agreed sample set before delivery. My banking operations background helps me understand document-processing workflows.

What should I send before ordering?
Send 3–5 redacted invoices, the fields you need, your preferred intake source and expected monthly volume. Tell me whether you already have n8n and Google accounts. I will confirm the supported layouts and any external services before you order.
Can you process scanned PDFs or photos?
Standard and Premium include OCR for agreed scanned PDF layouts. Photos, handwriting, poor-quality scans and additional languages need a sample review and may require a separate quote. Basic is for text-based PDFs.
Is extraction always accurate?
No extraction system is perfect. Results depend on layout, scan quality and the agreed rules. The workflow checks required fields and flags missing or uncertain results for human review. We test with your agreed sample set before delivery.
Are n8n, AI and OCR fees included?
No. You own the accounts and pay hosting, subscriptions and usage charges directly. I will identify the required services before ordering so you can review their costs. The gig price covers implementation, testing and handover.
Can you connect QuickBooks, Xero or my ERP?
These packages save results to one Google Sheet. Accounting platforms, ERP systems and other destinations need a separately agreed integration scope. Tell me your software and requirements before ordering.
How are duplicates handled?
We agree an identifier, such as supplier plus invoice number, and check it before appending a row. Missing identifiers go to review. We test duplicate behaviour with sample files; this does not guarantee detection of every possible duplicate.
What do I receive and what support is included?
You receive the n8n workflow JSON, setup notes and a short handover video. Seven days of fixes for defects in the agreed delivered workflow are included. New formats, new features and changes in external services are quoted separately.
Do you need my passwords or real customer data?
Use redacted samples for scoping. You can connect credentials in your own n8n instance during setup; do not put passwords or API keys in the requirements form. We will agree the access needed for your selected integrations.
