Stop typing receipts into spreadsheets. I'll build a tool that reads receipt photos and PDFs and fills a categorized spending sheet for you.
Built for small businesses, bookkeepers, and anyone who tracks expenses for themselves or their clients.
How it works:
- Drop receipts into a Google Drive folder, or forward them by email on Standard and Premium
- AI reads the date, vendor, total, tax, and payment method (last 4 digits only)
- Each receipt becomes a row in Google Sheets or Excel, sorted into your categories
- Anything the AI isn't sure about goes to a Needs Review tab, so mistakes don't slip in quietly
Built in n8n, Make, or Zapier, or custom Python where needed, with OpenAI or Claude, inside your own accounts. You own the workflow and the data.
Honest note: AI reads clear receipts well, but faded or handwritten ones can be misread. That's why the review step exists.

Do we need a call?
No. Everything happens in writing here on Fiverr, so there's a record. At delivery you get a walkthrough video showing your sheet working on your own sample receipts. I usually reply the same day.
How accurate is it?
Clear printed receipts and PDFs come through well. Faded, crumpled, or handwritten ones are where AI can slip, so uncertain rows go to a Needs Review tab instead of being guessed. I test it on your real receipts before delivery.
Can it use my own categories?
Yes. Basic supports up to 15 categories, and Standard and Premium use your own list, up to 40. Premium can also format the output for QuickBooks Online or Xero import.
Where does my data live?
In your accounts: your Drive or Dropbox, your sheet, your automation platform, and your AI key. I don't keep copies of receipts, and the tool records only the last 4 digits of a card.
What does it cost to run?
You pay your automation platform and AI provider directly, based on how many receipts you process. I'll estimate the monthly cost in writing before I start. Maintenance is optional at $75 a month.
